Refund Policy

Introduction
At DB Music Studio (“we,” “our,” “us,” or the “Studio”), we strive to provide high-quality music instruction and a positive learning experience for all our students. This Refund Policy outlines the terms and conditions under which refunds may be issued for our services, including lessons, workshops, camps, merchandise, and events.
By enrolling in lessons or purchasing any services from DB Music Studio, you agree to the terms of this Refund Policy. This policy should be read in conjunction with our Terms and Conditions.
1. Registration Fees
1.1 Non-Refundable Registration Fee
The initial registration fee paid upon enrollment is non-refundable. This fee covers administrative costs associated with setting up new student accounts, assessment, and placement.
1.2 Annual Registration Renewal
Annual registration renewal fees are non-refundable once the renewal period has begun.
2. Lesson Tuition Refunds
2.1 Individual Lessons
2.1.1 Prepaid Individual Lessons
If you have prepaid for individual lessons:
- Cancellation with 14+ days’ notice: Full refund for unused lessons
- Cancellation with 7-13 days’ notice: 75% refund for unused lessons
- Cancellation with 3-6 days’ notice: 50% refund for unused lessons
- Cancellation with less than 72 hours’ notice: No refund
2.1.2 Monthly Tuition Payments
For students on monthly payment plans:
- Notice of discontinuation must be provided at least 14 days before the start of the next billing cycle
- No partial refunds will be issued for a current month once billing has occurred
- Exceptions may be made for medical emergencies (see Section 6)
2.2 Group Classes
2.2.1 Before Classes Begin
- Withdrawal with 14+ days’ notice: Full refund minus a $25 administrative fee
- Withdrawal with 7-13 days’ notice: 75% refund
- Withdrawal with less than 7 days’ notice: 50% refund
2.2.2 After Classes Begin
- After the first class: 75% refund of remaining sessions
- After the second class: 50% refund of remaining sessions
- After the third class: No refund
2.3 Semester or Package Enrollments
For students enrolled in semester-long programs or lesson packages:
- Withdrawal before program start: 90% refund
- Withdrawal during the first week: 75% refund
- Withdrawal during the second week: 50% refund
- Withdrawal after two weeks: No refund
3. Workshops, Camps, and Special Events
3.1 Short-Term Workshops (1-3 days)
- Cancellation with 14+ days’ notice: Full refund minus a $25 administrative fee
- Cancellation with 7-13 days’ notice: 50% refund
- Cancellation with less than 7 days’ notice: No refund
3.2 Summer Camps and Intensive Programs
- Cancellation with 30+ days’ notice: Full refund minus a $50 administrative fee
- Cancellation with 14-29 days’ notice: 75% refund
- Cancellation with 7-13 days’ notice: 50% refund
- Cancellation with less than 7 days’ notice: No refund
3.3 Recitals and Performances
- Recital participation fees are non-refundable within 14 days of the scheduled event
- Ticket purchases for recitals or performances are non-refundable but may be transferable to another person
4. Digital Products and Online Services
4.1 Online Courses
- Access to online courses may be refunded within 7 days of purchase if less than 25% of the content has been accessed
- No refunds are available after 7 days or if more than 25% of the content has been accessed
4.2 Downloadable Materials
- Due to the nature of digital products, all sales of downloadable materials (sheet music, audio files, instructional materials) are final and non-refundable once the download has begun
4.3 Virtual Lessons
- Virtual lessons follow the same refund policy as in-person individual lessons (see Section 2.1)
5. Merchandise and Physical Products
5.1 New Merchandise
- Unopened merchandise may be returned within 14 days of purchase for a full refund or exchange
- Original receipt must be presented for all returns or exchanges
- Items must be in original packaging and in sellable condition
5.2 Sale Items
- Items purchased on clearance or marked as “final sale” cannot be returned or exchanged unless defective
5.3 Damaged or Defective Items
- Merchandise found to be defective at the time of purchase may be returned for a full refund or exchange within 30 days
- We reserve the right to inspect all items claimed to be defective
6. Exceptions and Special Circumstances
6.1 Medical Emergencies
In cases of serious illness or injury that prevent continued participation:
- Documentation from a medical professional may be required
- Refunds will be prorated based on services used
- The registration fee remains non-refundable
6.2 Relocation
- Students relocating more than 30 miles from our facility may receive a prorated refund for prepaid services
- Documentation of the move (such as a new lease or utility bill) may be required
- Four weeks’ notice is requested whenever possible
6.3 Instructor Changes
- While we strive for consistency, instructor changes may occasionally be necessary
- No refunds will be issued solely due to a change in instructor
6.4 Studio Cancellations
- If DB Music Studio cancels a class, camp, workshop, or event for any reason, a full refund will be issued
- Alternatively, credits may be applied to other services if preferred by the student
7. Studio Credit Policy
7.1 Credit in Lieu of Refund
- In some cases where a cash refund is not available under this policy, studio credit may be offered
- Studio credits are valid for 12 months from the date of issue
- Credits may be used toward any service offered by DB Music Studio
7.2 Transfer of Credit
- Studio credits are non-transferable to other individuals unless specifically authorized by management
- Credits cannot be converted to cash
8. Payment of Refunds
8.1 Refund Method
- Refunds will be issued using the original payment method when possible
- Credit card payments will be refunded to the same card
- Cash or check payments will be refunded by check
8.2 Processing Time
- Credit card refunds typically process within 5-7 business days
- Check refunds may take up to 14 business days to process and mail
9. Disputes and Resolution
9.1 Refund Disputes
- All refund disputes must be submitted in writing to our studio management
- Please include your name, contact information, details of the service purchased, and reason for requesting a refund
- Disputes will be reviewed and responded to within 10 business days
9.2 Final Decisions
- The Studio Director has the final authority on all refund decisions
- We reserve the right to make exceptions to this policy on a case-by-case basis
10. Changes to This Policy
DB Music Studio reserves the right to modify this Refund Policy at any time. We will provide notice of significant changes through our website or direct communication. The revised policy will apply to all transactions occurring after the effective date of the changes.
